MARKETING PROJECT & EVENTS COORDINATOR (full-time)

BASIC FUNCTION:

Orphan Outreach is a Christian non-profit serving orphaned and vulnerable children in Africa, Asia, Eastern Europe, and Latin America. We are looking for a Marketing Project & Events Coordinator to join our dynamic creative team charged with brand management, communication, client and partner support, signature events, special projects, and the organization’s social business, Orphan Outreach Marketplace.

The Marketing Projects & Events Coordinator helps facilitate the best customer service, donor care, and highest quality production of marketing efforts and special events for Orphan Outreach, to ensure organization’s brand and ministry brings glory to God as we serve orphaned and vulnerable children around the world.

You are an ideal candidate for the Marketing Project & Events Coordinator if you delight in working behind-the-scenes to bring plans to fruition as you set your team up for success. You love coordinating multi-faceted, deadline-driven efforts, have exceptional customer service skills, and are a nimble team player with an understanding of marketing and communication production, a hunger to learn and grow, and a passion for excellence.

As Marketing Project & Events Coordinator, you are also adept at managing special events, and are exceptional at anticipating and attending to fine details to ensure success. You are results driven and able to effectively make quick and thoughtful decisions under pressure. You feel comfortable organizing and directing volunteers with kindness and grace, as well as tending to event committee members, Orphan Outreach staff and the Orphan Outreach leadership team as you effectively execute each special event.


RESPONSIBILITIES/TASKS:

Project and Special Events Management

  • With the oversight of the Graphic Designer/Project Manager, organize and prioritize multiple projects from conception to completion using web-based product management tools, including the creation and communication of project folders, project schedules, tracking project budgets, securing assets and audience database segments if needed, ensuring quality control, providing regular project status updates and ensuring all deadlines are met and quality product delivered. 
  • Effectively and efficiently manage project requirements that may at times be ambiguous. Work with various departments and teams to define, estimate and document the overall scope of assigned projects. 
  • Facilitate meetings with marketing team and other collaborators as needed, and circulate actionable notes to address issues within timeline, scope, schedule, budget and quality. 
  • Partnering with the Senior Manager of Marketing, successfully manage logistics for Orphan Outreach’s signature events, the Children’s Hope Dinner (CHD) and the Women for Orphans Worldwide (WOW) auxiliary chapter fundraisers in Dallas and Houston, as needed. 
  • Manage special events folders and binders to ensure essential information, key contacts, etc., are kept for reference and to provide guidance for the development and planning of future events. 
  • Manage online bidder platform for event check-in, online auctions, raffle ticket sales, and other fundraising efforts associated with special events. 
  • Manage solicitation of auction and raffle items for events. 
  • Coordinate with Marketing Content Producer/Orphan Outreach Marketplace Manager regarding storefront, technology, and volunteer needs for Orphan Outreach Marketplace pop-ups at signature events and private functions. 
  • Coordinate and build Orphan Outreach website content updates for special events, including copywriting and editing general content, as well as creation of sponsorship pages and event modules. 
  • Work with Development team to manage invitee lists, RSVP lists and table assignments for all signature fundraisers and development events. 
  • Work with Development team to ensure the highest quality customer care for all donors and sponsors of special events, with thank you cards, thank you gifts, and all necessary follow-up as needed. 
  • Assist Digital Marketing Producer with the production of PowerPoint presentations used in conjunction with special events, including pre-event slide and program slide shows.

Marketing & Advancement Support

  • Actively collaborate in the development and implementation of Orphan Outreach and Orphan Outreach Marketplace marketing plans, fundraising campaigns, special events, and partnerships.
  • Assist Senior Manager of Marketing and Graphic Designer/Project Manager with the coordination and storage of media assets including photography, videography, and design elements.
  • Coordinate and build Orphan Outreach website content updates for fundraising and strategic partnership campaigns, including copywriting and editing general content, donation pages, sponsorship pages, and thank you pages.
  • Support Graphic Designer/Project Manager with website content edits and updates as needed.
  • Support Digital Marketing Producer with email and social media campaigns, including curation of content from program reports and other research sources, quality assurance of design, and coordination of email campaigns as needed.
  • Support marketing team in production of any collateral materials as needed for events, donor relations, or fundraising efforts, and actively participate in review and editing of materials as assigned.
  • Working with Senior Director of Advancement, manage NVIDIA backpack campaign planning, logistics, and execution.

Servant Leadership

  • Participate in church events, CAFO, and other opportunities for engagement.
  • Additional responsibilities as required.

POSITION REQUIREMENTS, KNOWLEDGE, SKILLS & ABILITIES:

NOTE:  These requirements represent minimum levels in order to perform the job on a satisfactory basis.  Candidates must have the ability to satisfactorily perform the essential functions of the job.

Requirements

  • Must be a committed Christian; adhere to Christian principles and values. Involved in local church and understands the role and value of the church as advocates for orphans.
  • Requires a basic understanding of a comprehensive field of knowledge. Bachelor’s degree preferred.

Abilities

  • Must be able to take initiative and manage time efficiently.
  • Must be a team-oriented individual who can work with professionals of any level.
  • Requires ability to organize complex tasks and plans and to be detail oriented; effective ability to create and execute plans flawlessly, focusing on team and organizational success.
  • Requires ability to work under pressure and remain flexible as priorities change; ability to effectively communicate orally and in writing and speak in front of small groups.             
  • Requires ability to work under minimal supervision; must be self-motivated and able to motivate others; ability to exercise excellent professional judgment and maintain confidentiality.     
  • Must exhibit self-confident behaviors, secure with self and willing to give credit to others.
  • Requires ability to speak clearly and be understood in face-to-face interactions; to articulate with accuracy while speaking on the phone.
  • Requires ability to establish and maintain effective professional working relationships with staff, guests and outside agencies/organizations.
  • Requires ability to hear and receive verbal instructions, answer phones, return phone calls and communicate in situations with some background noise.                                                                                                                

Skills and Proficiencies

  • Must speak, read and write English proficiently. Ability to speak other languages, especially Spanish, a plus.
  • Strong verbal and written communication skills essential.
  • Strong customer service skills essential.
  • Project management experience essential. Knowledge of project management platforms (like Monday or ClickUp) preferred.
  • Experience with special events administration or being on a special events production team essential.
  • Must be comfortable with creating and managing content on web and social platforms. Understanding of design apps like Canva a plus.
  • Experience in web-design (front-end) and content management preferred.
  • Experience in copywriting and copy editing essential.
  • High level of proficiency in Microsoft Office Software, including Word, Excel, and PowerPoint.
  • High level of proficiency in Apple Environment.
