Orphan Outreach

MARKETING PROJECT COORDINATOR (full-time)

BASIC FUNCTION:

The Marketing Project Coordinator helps facilitate the highest quality in the production of all marketing and communications efforts for Orphan Outreach, working alongside the Senior Manager of Marketing to ensure organization’s brand and ministry brings glory to God as we serve orphaned and vulnerable children around the world.


RESPONSIBILITIES/TASKS:

Project and Special Events Management

  • Actively collaborate in the development and implementation of Orphan Outreach marketing plans and campaigns, events, and collaborative partnerships
  • Manage and prioritize multiple projects from conception to completion, including the creation and communication of project schedules, tracking project budgets, securing assets and audience database segments if needed, ensuring quality control, providing regular project status updates and ensuring all deadlines are met and quality product delivered. 
  • Effectively and efficiently manage project requirements that may at times be ambiguous. Work with various departments and teams to define, estimate and document the overall scope of assigned projects.
  • Manage freelance and vendor relationships to guarantee timely delivery of assets as needed.
  • Partnering with the Senior Manager of Marketing, successfully manage event logistics for Orphan Outreach’s signature annual events, the Children’s Hope Dinner (CHD) and the WOW auxiliary chapter in Dallas, including vendor contracts, venue relations, event rentals, entertainment booking and contracts, photographer coordination, on-site event support, event data entry, creative aspects (including run of show and decorations), and other event production elements.
  • Manage production process of marketing materials and collateral offerings in conjunction with events to effectively promote and drive ticket sales, and enhance user experience.
  • Manage solicitations of auction and raffle items for events. 
  • Work with Development team to manage invitee lists, RSVP lists and table assignments for all signature events, partnering with the Database Coordinator to ensure all lists are accurate.

Internal Client Service and Support

  • Work with assigned departments to continually monitor and assess long-term goals and objectives, providing creative marketing & communications solutions that best meet those goals and objectives.
  • Working with the Senior Manager of Marketing and Graphic Designer, write and produce one-sheets, presentation elements, feature stories, recaps, and relationship-building elements as assigned.
  • Facilitate meetings with marketing team and other collaborators and circulate actionable notes to address issues within timeline, scope, schedule, budget and quality.
  • Working with Senior Manager of Marketing, ensure Orphan Outreach staffs, both domestic and global, receive updates on major campaigns and fundraising efforts in order for them to participate fully in those efforts.

Copywriting, Editing and Production

  • Manage Orphan Outreach website content updates, including copywriting and editing general content, and creating promotional banners and campaign pages, fundraising pages and event modules.
  • Produce ministry and client-directed short-form videos for updates, fundraising proof-of-performance, and appreciation.
  • Support marketing team in production of any collateral materials as needed

Servant Leadership

  • Participate in church events, CAFO, and other opportunities for engagement.
  • Additional responsibilities as required.

POSITION REQUIREMENTS, KNOWLEDGE, SKILLS & ABILITIES:

NOTE:  These requirements represent minimum levels in order to perform the job on a satisfactory basis.  Candidates must have the ability to satisfactorily perform the essential functions of the job.

Requirements

  • Must be a committed Christian; adhere to Christian principles and values. Involved in local church and understands the role and value of the church as advocates for orphans.
  • Requires a basic understanding of a comprehensive field of knowledge. Bachelor’s degree preferred.

Abilities

  • Must have an outgoing personality and enjoy working with people and getting them excited about being involved in special events and the Orphan Outreach Marketplace.
  • Must be able to take initiative and manage time efficiently.
  • Must be a team-oriented individual who can work with professionals of any level
  • Requires ability to organize complex tasks and plans and to be detail oriented; effective ability to create and execute plans flawlessly.
  • Requires ability to work under pressure and remain flexible as priorities change; ability to effectively communicate orally and in writing and speak in front of small groups.             
  • Requires ability to work under minimal supervision; must be self-motivated and able to motivate others; ability to exercise excellent professional judgment and maintain confidentiality.     
  • Must exhibit self-confident behaviors, secure with self and willing to give credit to others.
  • Requires ability to speak clearly and be understood in face-to-face interactions; to articulate with accuracy while speaking on the phone.
  • Requires ability to establish and maintain effective professional working relationships with staff, guests and outside agencies/organizations.
  • Requires ability to hear and receive verbal instructions, answer phones, return phone calls and communicate in situations with some background noise.                                                                                                                

Skills and Proficiencies

  • Must speak, read and write English proficiently. Ability to speak other languages, especially Spanish, a plus.
  • Strong verbal and written communication skills essential.
  • Project management experience essential. Knowledge of project management platforms (like ClickUp or BaseCamp) preferred.
  • Experience managing special events or being on a special events production team essential.
  • Must be comfortable with creating and managing content on social platforms.
  • Experience in web-design (front-end) and content management essential.
  • Experience in copywriting and copy editing essential.
  • Experience in video production essential. Knowledge of Adobe Premiere or Final Cut Pro preferred.
  • High level of proficiency in Microsoft Office Software, including Word, Excel, and PowerPoint.
  • High level of proficiency in Apple Environment.
  • Moderate experience with Adobe Creative Suites (Specifically using Illustrator, Photoshop, InDesign and Acrobat)
